Import & Export Contacts

To Import Contacts

  1. First go to the “Contacts” tab on the left menu
  2. Then in the upper right side of the page you will see an “Import button” and a separate “Export” button
  3. To import Click on the orange “Import” button
    • You can import contacts using an Excel or CSV file
      • Please check out how the page should be formatted by downloading and checking the Sample Format. You download it by clicking on the “Import” button in the contacts tab then clicking on “Sample Format”
  4. Choose a file to import then click save, you’ll be taken to the next screen for category matching
  5. Before you begin matching your categories select the type of contacts these are, you can choose from Leads, Prospects, or Accounts.
    • Leads are people who you know exist and who potentially fits your ideal customer profile, you have some identifying information about them like a name, phone number, or a location.
    • Prospects are leads that have proven to be a fit for your products/services and are progressing toward a decision by having a continuous conversation with a sales rep or continuing to show interest in your product by visiting your website.
  6. Create a tag for the imported contacts or select from a previously existing one
  7. You can filter, group, and organize contacts according to these tags.
  8. Check our category, then select your matching category. Do this for as many categories as possible or at least for the ones that you’ll need too see on your CRM.
  9. First Name, Last Name, Email, and Company are all required
  10. Then Click Submit

To Export a file click on the “Export” button. It should then automatically export an excel spreadsheet with your contacts

Add New Contact

  • Users to enter all the required information correctly in order to Create new contact
  • If the user presses the orange “Add New” button, “Create new contact” popup will appear
  • To add new contact,  users will be required to enter First Name, Last Name, Email, Select (Yes/No)if the person is already an account?, Company Name, Company phone, City, State, Zip Code and Country
  • Once user click Save, the system will validate the entered information
  • After putting all the required information correctly and clicking the “Save” button, new contacts will be created and go in the ‘leads’ category.
  • If select (Yes) if the person is already an account, move the contact into the Accounts category

Filter

In order to filter contacts click the “List View” button on top of the screen.

You’ll be taken to the List View page also known as the Filter page

You can Filter using 5 methods:

Keyword search: Enter a name, title, tag, or any keyword that would appear in the contact or contact group you are looking for.

Contacts: Where you can split the into any combination of the four groups below.

      • Leads
      • Prospects
      • Opportunities
      • Accounts

Location: Filter by Country, State, City, and/or Zip code

Lead Score: Lead scores are assigned by the way your leads interact with you. The higher the lead score the better.

You can reset the filter at any point using the “Reset” button

Pagination will let user to navigate through all the pages for finding Contacts

Tagging

You can also Tag selected groups that you filtered from the filter page. Just filter the contacts the way you want them.

Then select the contacts you want by clicking the box on the left of the contact, or selecting all by clicking the box on top.

Finally click the “Tag Contacts” button, you can either select an existing tag or type in a new tag.

 

 

Moving Contact

  • Users to enter all the required information correctly in order to move Contacts from Prospect to Opportunity
  • After putting all the required information correctly and clicking the “Submit” button, contacts will be moved to the desired category.

  • Users to enter all the required information correctly in order to move Opportunity to Account
  • After putting all the required information correctly and clicking the “Submit” button, contacts will be moved to the desired category.
Contact Details

Upon selecting “View Details” button of any contact brings “Contact Details” page. Details will be shown for each contact once clicked

  • Left panel of the contact details page shows the personal information of the selected Contact. Following information are displayed:
  • Profile picture
  • Edit Button
  • Username and Title
  • Added Date and Time
  • Website
  • Status
  • Email
  • Company
  • Department
  • Company Phone
  • Cell
  • Address
  • City
  • State
  • Zip Code
  • Country
  • Company Size
  • Last activity Date and Time

Timeline

Appointments

  • Select a date from Calendar to make any appointment
  • An invite can be sent out. Once an invite is sent from the calendar, the contact or prospect will be in the Timeline column, with name, Title, company and date / time of appointment.

Update Contact

Update Contact

  • Hover your mouse over a contact to see the options for that contact, then click on the “Update Contact” button.
  • After modifying the existing information, once user click “Update”, the system will validate the entered information.

Add Appointments

  • Upon selecting “Add Appointments” button of any contact brings “Appointments” page
  • Select a date from the calendar to make an appointment
  • After inputting all the required information and clicking the “Submit” button, an appointment will be created
  • Once an invite is sent from the calendar, the contact or prospect will be in the Timeline column, with name, Title, company and date / time of appointment
Search Contacts

Block Contacts

  • Upon selecting “Block Contact” button user can block any contact
  • Upon selecting “Unblock Contact” button user can unblock any blocked contact
